Responsibilities

Position Summary:

We are seeking a Regional Operations & Engagement Specialist to support the delivery of regional leadership operations, internal events, employee communications, collaboration and knowledge management, operational controls, and service reporting for our client.

In this role, you will help coordinate recurring regional leadership activities, maintain operational schedules and deliverables, support internal events and communications, manage collaboration and knowledge content, track risks and dependencies, and contribute to ongoing process improvements. The ideal candidate is highly organized, detail-oriented, comfortable working across multiple stakeholders and priorities, and able to maintain accurate documentation and reporting in a structured service environment.

 

WHAT YOU WILL BE DOING:

  • Support leadership operations: Maintain recurring leadership rhythms, coordinate meeting logistics, prepare standardized meeting materials, track readiness, dependencies, exceptions, and completion records.
  • Coordinate internal events and team activities: Support event planning, invitation and distribution lists, venue or virtual meeting setup, readiness checklists, risk/dependency tracking, and post-event documentation.
  • Manage internal communications: Maintain communications calendars and prepare and publish approved announcements, newsletters, recognition items, and employee-engagement content through SharePoint, Viva Engage, and other approved channels.
  • Support collaboration and knowledge management: Maintain SharePoint sites, Teams/collaboration hubs, shared folders, document libraries, templates, and knowledge resources while following established naming, metadata, versioning, and archiving standards. Singapore Regional Operations -…
  • Track operational deliverables: Maintain deliverable registers, deadlines, cadence trackers, issue/risk/dependency logs, operational dashboards, and escalation records.
  • Support process improvement: Identify and document opportunities for service improvement, assess expected benefits and effort, maintain improvement backlogs, and support approved improvements through implementation and validation.
  • Prepare operational reporting: Support weekly operational reporting, monthly performance scorecards and service reports, quarterly trend reviews, corrective-action tracking, and continuity documentation.
  • Maintain service documentation and controls: Ensure requests, deliverables, dependencies, approvals, exceptions, and supporting evidence are accurately documented in approved systems and repositories.
  • Collaborate with stakeholders: Work with internal teams and client stakeholders to obtain required inputs, track dependencies, coordinate approved activities, and ensure deliverables are completed accurately and on time.

Qualifications

MINIMUM QUALIFICATIONS:

  • Experience in business operations, program coordination, project coordination, executive/leadership operations, or a similar operational support function.
  • Strong organizational and coordination skills with the ability to manage recurring deliverables, deadlines, risks, issues, and dependencies.
  • Experience coordinating meetings, internal events, communications, or employee-engagement activities.
  • Experience maintaining operational trackers, dashboards, status reports, and documentation.
  • Strong written and verbal communication skills with the ability to work effectively across multiple stakeholders.
  • Strong attention to detail and ability to follow established processes, controls, and approval workflows.
  • Experience working with collaboration and document-management tools such as Microsoft Teams and SharePoint.
  • Ability to work independently in a structured, service-oriented environment and manage multiple priorities simultaneously.

PREFERRED QUALIFICATIONS:

  • Experience supporting regional or global leadership teams in a multinational organization.
  • Experience with Microsoft 365, SharePoint, Teams, and Viva Engage.
  • Experience with internal communications, employee engagement, or event coordination.
  • Experience maintaining risk, issue, dependency, decision, or change-management registers.
  • Experience creating operational dashboards, performance scorecards, or service reports.
  • Familiarity with process improvement, root-cause analysis, corrective-action tracking, or service-management practices.
  • Experience working in a managed-services or client-facing environment.
